Reduce Clutter by Scanning Documents

largest filing cabinet

If you’re running a business, you probably have lots of paperwork. But with today’s document technologies, it doesn’t have to be that way.

One easy way to handle paperwork is to scan your documents into digital files. These can be easily organized, retrieved, and manipulated on your computer.

If you have a large volume of paperwork to scan, you need document management services from a company like Digital Documents.

Digital Documents can handle all of your document scanning needs. You can send them boxes of documents, and they will digitize them for you. They scan the documents and either send the files back or destroy them for you.

I’ve never used Digital Documents’ services before, but it looks like they fill a great need. Instead of buying more filing cabinets or using offsite storage, you can have all your documents as digital files at your fingertips.

My one concern would be confidentiality. As an attorney, I have to be very careful about protecting client confidentiality. I’m reluctant to let anyone have access to client files for any purpose. But I’m sure companies like Digital Documents have procedures to ensure your data is protected.

Have you used a document scanning service? Would you recommend them?

This is a sponsored post, but these are my honest opinions.

    I haven’t used this service, but I did scan in 200,000 documents for an engineer recently. Theres no need to mention how many paper cuts I received… its better to let a service do this for you, thats for sure!!!!

    @Mat – I can’t imagine scanning 200,000 documents. That would be a nightmare. Maybe you should’ve worn gloves. :)

    I didnt use one last year and learned a good lesson.

    The amount of hours I spent scanning, checking the OCR and alignment was crazy. And thats just on a basic scan. If the doc needed to be converted to html or pdf or exel file then the production line came to a complete stop.

    then throw in minor printer problems and frequent ink changes, paper jams… omg

    I am surely using a service for this next time!

    @March – I’m with you: digitizing documents is time-consuming. If you have a lot of documents, it’s a great task to outsource.

    Matt,

    No worries, I’m sure they have lots of policies, procedures and safe guards in plane to ensure and protect the confidentiality of their client’s documents.

    Lawyers have been using outsourced services for many years.
